QCPCA has resources available to help you in your new role.  The three main documents you will need are:

1.    Constitution 

2.    Accounting manual

3.    Operations manual

It will help you greatly to become very familiar with these documents.

There is a 'Guide for P&C Executive Members' which has information to help you in your day to day operations.

There are also 'Fact Sheets' and 'FAQs' that will give you additional information.

The drop down menu on our home page- 'P&C Operations' has a range of information including Tuckshops, Outside School Hours Care, Insurance Policies and Forms, etc.

QCPCA Regional Councils are also available to help and assist you in your new role.

New information is continuously added to the website so ensure you check it regularly for news and updates.

A P&C needs an Executive committee to be able to perform the functions and business aspects of the P&C. Without an Executive, the P&C cannot operate its Tuckshop, Uniform shop, OSHC, etc.

If an Executive committee is not able to be filled at the AGM, the P&C will have to hand over its operations to the Principal, in a caretaker mode, in the interim. Before the next general meeting, the existing P&C members and the Principal should approach the school community to endeavour to gather together some interested people to take on the roles required. Talk to your school community, advertise in the school newsletter, to see if there are interested people.

Research into volunteering shows that one of the most predominate reasons that people will volunteer, is that they were asked to! You may have a band of parents willing to help; they're just waiting to be asked.

P&Cs are often approached by businesses, banks and other financial institutions offering fundraising opportunities.

The involvement of schools and P&Cs in such programs is not appropriate as they can be perceived as endorsing the organisation and thereby the financial product, or may also be seen as acting as an agent for the business because they receive a commission.  Endorsement of any organisation or its offering contradicts the Department of Education's policy.

Involvement in these schemes would clearly be an advertising or sponsorship arrangement. P&Cs may enter into sponsorship or advertising arrangements, e.g. commercial advertising in the P&C newsletter, as long as there is no perception of endorsement of the product or service, and the commercial sponsor or advertiser is compatible with the ethos of public education.  Any sponsorship arrangement initiated by the P&C must be approved by the principal as being consistent with departmental policies.

Involvement by P&Cs in loan or credit introduction programs is not supported by the department, as the department and P&Cs may be perceived as endorsing such schemes.

Gaming Fund and other grant applications should indicate a sponsor for unincorporated bodies and the P&C should nominate the school as the sponsor. Schools are incorporated under Education (General Provisions)Act 2006 (which comes under "another act of parliament" on the Gaming Fund Application)
